Student Organization Equipment and Space Reservation

Equipment Reservation:

Campus Recreation offers equipment reservations to support registered YSU student organizations and campus departments. Equipment includes Sports & Games Equipment and Adventure Recreation Equipment, both reserved using the same request form.

How to Reserve

  • Complete the Equipment Reservation Request Form below.
  • Requests must be submitted at least 48 hours in advance to allow for processing.
  • You will receive a response within two business days confirming approval or denial.
  • Submitting a request does not guarantee availability until confirmed by Campus Recreation staff.

Reservable Equipment

  • Sports & Games Equipment and Adventure Recreation Equipment options are listed in the dropdown menus within the request form.
  • All Sports & Games Equipment are free of charge for YSU associated student organizations and departmental use.
  • Some Adventure Recreation Equipment may have additional requirements, associated fees, training, or restrictions.

Pick-Up & Return

  • Equipment may be picked up and returned Monday–Friday, 9:00 AM–4:00 PM.
  • All equipment must be returned by the agreed-upon return time. Failure to comply may result in suspension of reservation privileges. 

Responsibility & Fees

  • Organizations are financially responsible for any lost, stolen, or damaged equipment.
  • Late returns or repeated issues may result in:
    • Loss of future rental privileges
    • Additional fees or restrictions

Space Reservation

Note: If you are registering for a birthday party or teambuilding event with the Adventure Rec team, please fill out our registration form. Do not submit a space reservation request.

Reservation Guidelines

  • Student organizations may reserve a space for up to two (2) hours per week.
    • Note: Limited to no more than 100 participants per space. Please contact the reservation coordinator if requiring a space for more than 100 people.
  • Reservations are first-come, first-served and must be submitted at least three (3) working days in advance.
  • Reservation confirmation periods:
    • Spring semester: begins in December
    • Summer semester: begins in May
    • Fall semester: begins in August
  • Submitting a request does not guarantee approval until confirmed by Campus Recreation staff.

Eligible Reservations

  • Available spaces for reservation include:
    • One (1) Basketball Court 
    • The Aerobic Studio (One Half (1/2) or the Full Space)
    • The Meditation Studio
    • The Racquetball Court
  • Reservations are free of charge when made during posted open hours.
  • Fees apply for reservations requested outside of open hours of operation or exceed the two hour time limit.

Facility Use & Conduct

  • All participants must have a valid membership or guest pass to use the facility.
    • Guest passes may be purchased for $15 at the Campus Recreation Administrative Offices.
  • All members and guests must follow:
    • Posted facility rules
    • Instructions from Campus Recreation staff
  • Organizations must respect the reserved space and ensure it is cleaned and returned to its original condition after use.
  • Failure to comply may result in:
    • Immediate loss of reservation privileges for the organization
    • Referral to the Office of Community Standards and Student Conduct

Right to Modify Reservations

Campus Recreation reserves the right to cancel, relocate, or reschedule any reservation at any time and for any reason.
