HOW TO HIRE A STUDENT WORKER

  1. Make sure that the job that you are hiring for already exists. A position description must be approved by On-Campus Student Employment before hiring for the position. If you have questions about whether or not a student's job already exists, or if you need help in writing a position description, please e-mail Melodie Provencher at maprovencher@ysu.edu. [During the remainder of the Spring 2020 semester, the staff of the Office of Student Success will be working remotely, with extremely limited office hours. All in-person contact will be by appointment only. Please use e-mail to contact us.]
  2. Advertise the job opening. Follow the link and complete the form to create a job listing on the Student Success website.

  3. Applicants will contact you directly. Employing departments manage their own hiring process.
  4. After you have interviewed applicants and made your selection, it is time to complete the employment paperwork.

If the student has worked for YSU in the past...

  1. The employing department and the student complete an On-Campus Student Employment Hourly Appointment form* together. The student fills out Section I; the supervisor and signature authority complete Section II. The student does not have to complete any additional paperwork.
  2. Send the Hourly Appointment form directly to the On-Campus Student Employment office, Jones Hall, Room 3015.
  3. Wait for confirmation of an approved start date. DO NOT allow the student to work until all paperwork is processed and a start date is set.

If the student has NEVER worked for YSU in the past...

  1. Complete an appointment form (see link in the above section). The student fills out Section I, and the supervisor and signature authority for the FOAP (the budget from which the student will be paid) complete Section II.
  2. Ask if the student is a U.S. citizen or an international student.

    If the student is a U.S. citizen:

    • Print out Lists of Acceptable Documents and give it to the student. Explain to the student that he/she will need to bring acceptable ID, original documents ONLY (copies will not be accepted). His/her I-9 form will be completed online in our office.

    If the student is an international student:

    • International students must present their current passport and I-20 form to prove their eligibility to work in the United States. These documents will be used to complete their I-9 form in the Student Success/On-Campus Student Employment office in Jones Hall (room 3015).
    • PLEASE NOTE: It is not necessary for a student to have a social security number in order to be hired at YSU. If the student does not have a social security number, they will receive the form and detailed instructions on how to apply for a social security number after they complete their I-9.
  3. All additional paperwork (OPERS, school district, direct deposit forms, and the I-9) must be completed by the new student employee in our office. During the remainder of the Spring 2020 semester, the staff of the Office of Student Success will be working remotely, with extremely limited office hours. All in-person contact will be BY APPOINTMENT ONLY. Please email maprovencher@ysu.edu or mlleonard@ysu.edu to set up a day and time for the student to come to our office.
  4. Wait for confirmation of the approved start date. DO NOT allow the student to work until all paperwork is processed and the start date is set.
