Office 365 Faculty/Staff FAQ

What is Office 365?

Office 365 for education (formerly known as Live@edu) is a cloud-based service from Microsoft that provides faculty and staff with services such as email, calendaring, contact storage, and task management. Each account gets 50 GB of free email storage and can handle attachments as large as 25 MB.

Who can access O365?

YSU students converted to O365 in September, 2012. YSU Faculty were converted in December of 2012. Currently, remaining staff are being converted. The tentative plan is to convert staff by department starting in January of 2013.

Is O365 free?

Yes. All faculty and staff will have access to Office 365 for education at no cost.

Are other colleges and universities using Office 365 for education?

Yes. Many other colleges and universities are using or moving to O365 including, Kent State University, the University of Toledo, Ohio University, Wright State University, and Cleveland State University.

How do I access O365?

Go to the web site “YSU.EDU” and click on the “Click here to login” link in the “Microsoft Office 365” section (top right). Enter your MyYSU User ID and password.
 

Can I access O365 without going through the MyYSU Portal?

Yes. You can use any browser or go to the following link:

  • Outlook.com
  • Enter your MyYSU User ID e.g. Ptpenguin and your MyYSU password.
  • Click the “Sign In” button.

Can I use an email client on my Windows or Mac PC to access O365?

Yes. Office 365 can be accessed with a mail client such as Mac Mail or Outlook. Please refer to the YSU IT Service Desk site for instructions on configuring your PC or Mac at the IT Service Desk Website and click on the “YSU Self-Help Documents” link near the bottom of the page. 

Can I use my Smartphone with O365?

Yes. Smartphones can be configured to integrate with O365. A variety of mobile phones can be used including Windows Phones, Apple iPhones, Android phones, and BlackBerry® devices. Options vary for phones depending on the brand, model, operating system, and configuration you select. Please refer to the YSU IT Service Desk site for instructions on setting up your phone at the IT Service Desk Website and click on the “YSU Self-Help Documents” link near the bottom of the page.

How long will my old email be available in the Legacy E-mail system?

Your old emails will be available in the Legacy E-mail system until August 31, 2013.

What browsers are fully supported and tested to access e-mail on O365?

Can I automatically forward all my email from O365 to another email provider e.g. Yahoo, Gmail?

No. In the past such forwarding has caused YSU email to be blocked by the Internet as SPAM. As email is a critical academic and business communications technology, the University has chosen to disable the ability for auto forwarding of email to other systems.

Can I automatically forward all email from another provider to Office 365 for education?

Most likely. Each provider has their own documentation on how to forward email from their system to another email system. Refer to the instructions below on how to auto forward email for many popular email services:

Does O365 provide anti-spam protection?

Yes. Office 365 for education has its own anti-span mail filters and virus protection. Messages sent to username @ysu.edu will be scanned and filtered automatically, so messages detected as junk mail will be placed in your “Junk E-Mail” folder. It is important to periodically check your Junk E-Mail folder to avoid missing a real message mistakenly marked as spam. Refer to the YSU IT Service Desk site for instructions on customizing the Junk E-Mail settings at the IT Service Desk Website and click on the “SELF-HELP DOCUMENTS” link on the right side of the page.

Where can I change my account password?

You can NOT change your password from within O365.All password changes need to be made from the Password Self Service website.

Is it possible to request a Shared Distribution List that would be available to certain people that could be used to send an email to a group of predefined people?

Yes. Please contact the YSU IT Service Desk and request the name of the Distribution List and who the “Owner” of the list will be. Then the “Owner” is responsible for adding people to the list and keeping it up to date.

Why am I unable to import my Contact List/Address Book into O365 because I get the error that the file is not in the correct format?

If you have special characters and accents above characters used for certain names e.g. European names you may need to remove those special characters before importing the list and then add them later.

Is it possible to get a Conference Room setup in O365 so it can be scheduled by people in my department?

Yes. Conference Rooms will be created as needed based on requests. Rooms can be searched to determine availability and scheduled as needed. Please contact the IT Service Desk to request a Conference Room resource be created and who will be the “owner(s)” of the room. If you want to limit the people who can schedule the room please provide that list also.
