Student Eligibility to work on Campus
  • To be eligible for employment during the fall or spring semesters, a student must be enrolled for a minimum of two courses and no less than six credit hours and be in good academic standing. Audited classes do not count toward either the two course or six credit hour requirements.
  • To be employed during a summer semester without concurrent summer enrollment, the student must have been enrolled during the previous spring, be currently registered for the upcoming fall semester, and be in good academic standing. 
  • Students may not work a both a university employee (full or part-time) and a student employee at the same time.
  • No student is permitted to work without a formal appointment that specifies pay position, pay rate, and length of appointment. 
Available work hours per week
  • Domestic student employees may not work more than 25 hours per week. 
  • International students may not work more than 20 hours per week during the semesters. They may, however, work up to 25 hours per week during breaks and over the summer.
  • Graduate assistants may not work more than 5 hours/week as a student employee.
  • Student employees may work in more than one department, however, the total hours worked in one week by domestic students may not exceed the limites defined above. 
How to hire a student employee

1. Create a Position Description
Before a student can be hired, a position description must be approved by Student Employment. If the position you wish to fill has previously been approved by Student Employment, you do not need to resubmit the position description. Only submit a position description if you are creating a new student job. Mail the position description to Melanie Leonard at mlleonard@ysu.edu.


A position description must contain the following information:

  • Name of hiring department or program
  • Job title
  • Job duties
  • Minimum qualifications
  • Name and title of the person who will supervise the student
  • Hourly wage (Note: hourly wages are determined by the qualifications and responsibilities associated with each position. Hourly wages for student workers begin at $10.45/hours (current minimum wage) and may not exceed $15.00/hour. 2. Post the Position
On-campus student positions are posted in Handshake, YSU's job posting platform for students.


If it is the first time you are posting a position on Handshake, send a copy of the position description and wage rate to Melanie Leonard at mlleonard@ysu.edu and ask to have a Handshake account created. You will receive and email that contains information on how to activate your account in Handshake. Activation is simple. You must activate this account in order to access all applications for your posted position(s). Once you have activated your account, you may enter the position information in Handshake.

3. Hire a Student
After you review applications in Handshake, you may offer the position to the student(s) of your choice. Complete sections 1 and 2 of the Hourly Appointment form and return it to Student Employment at studentemployment@ysu.edu.


To save and submit the form, please follow these instructions:

  • Download the form to your computer's desktop first, use SAVE AS to rename the document.
  • Go to the desktop version you just created and fill in the information there
  • Save again
  • Email the completed form via email as an attachment.

If the student has never worked for the university, Student Employment will contact them directly with the additional state and federal forms and ID verification instructions that will be needed to add them to YSU's payroll. 

Please do not schedule or start a student working until you receive a start data and confirmation from Student Success. Doing so could result in the student not getting paid.
